Equipment Inspections
Completing Checklists from a specific piece of equipment to the site fence to establish and document it is safe to use and/or in good condition.

Unlike Safety, with equipment we must start with a Checklists in order to create Observations. Walks do not apply since each piece of equipment has a very specific list of checkpoints to mark pass/fail. Just like Safety and QC an Observation is an object that is created from a checklist that does the tracking, notifications, responsibility, and due date. Since we didn’t think you’d be carrying a laptop while on a job walk, these instructions all apply to mobile.
Start New Checklist
Choose from a scope specific or all inclusive checklist available from the company level. Check out Add or Update Templates if you don’t see the ones you need.
In the main menu go to Equipment and Select the Checklist OR **Scan QR Code
Fill Out the General Information
Save
Inspect!

Create an Observation
After marking Fail on a Checklist item…
Origin will be filled out if starting with a checklist item.
Add a Photo
Write a Description
Assign Responsible Person
CC those who need a notification but don’t need to respond.
Continue and then Save or Publish.
When created from a Checklist item - If you want the observation to send now, Publish. To collect notifications and send later, Save. Learn more about Notifications.
Distribute Observations
While completing an inspection the observation notifications are collected when you use the SAVE DRAFT option to avoid over notification of Assignees. Find the banner on Desktop or Mobile to send all notification at once. Check out the Notifications article to learn more.
Distribute Checklist [Desktop]
After the walk is complete, share a summary of the checklist with the team. And forget about a “status” like open or closed. The walk is done and everything in need of tracking is in an observation, so aside from a review from those not on the walk, the checklist is history. Check out this article on how to distribute.
Responding to an Observation
When an inspection takes place and a user chooses Fail, an observation is created. The inspector will choose who is responsible to make the correction and/or notifying their supervisor.
NOTIFY - The person assigned to the observation will get an email notification. If on desktop, use the link in the email to direct you to theobservation. For mobile devices, open the app and the observation will be on the home screen.
REVIEW - Tap on the Name from the home screen to open the observation and see the description and photo’s.
REPLY - Type a response and/or take a photo, choose a response of Corrected or Rejected. This will notify the creator of the observation that the ball is back in their court.
CLOSE - The creator of the observation will get a notification and a ToDo item that the observation is ready for review and they can close or reject the response they received.
Good to Know
Marking PASS on equipment checklist do not trigger an observation. That would add a lot of time and not accomplish anything since there’s no one to attaboy when the equipment is working.
